Privacy Policy

We are committed to protecting your privacy. This Privacy Policy explains how GettingHired collects, uses, and safeguards your information when you use our website and services.

1. Information We Collect

GettingHired collects only the information needed to provide account, job-tracking, Gmail synchronization, billing, and support features.

Account Information: Your name, email address, profile image, account identifiers, session information, and authentication credentials. If you sign in with Google, we also retain the OAuth tokens needed to maintain the connection you authorized.

Gmail Data: When you connect Gmail, we use read-only access to search for likely job-application messages. We may temporarily process message IDs, sender and recipient details, dates, subjects, labels, snippets, and relevant message-body content. Searches are limited by date, job-related phrases, and likely recruitment senders.

Job Application Information: Google user data derived from job-related messages includes the company, role, application status, application and event dates, job platform, links, and the Gmail message ID associated with an application event. We store these extracted fields together with information you enter, such as notes and manual updates.

User-Specific Statistics: We calculate statistics for your account, such as application counts and status trends, from your stored job-application information. We do not create or retain anonymized or cross-user aggregated datasets from Gmail data. General technical and feature-usage analytics do not include Gmail message content, Gmail metadata, extracted job-application information, or these user-specific statistics.

Service and Billing Information: We may collect subscription status, transaction references, technical logs, device and browser information, and general feature usage needed to operate, secure, and improve the Service. Payment card details are handled by our payment provider rather than stored by GettingHired.

2. How We Use Your Information

We use this information to provide the features you request and to keep the Service reliable. In particular, we use it to:

  • Authenticate you and maintain your GettingHired account.
  • Search for likely job-related messages and identify applications, interviews, assessments, offers, rejections, and other status updates.
  • Create and update the dashboard, table, Kanban board, and application history shown to you.
  • Calculate and display application counts and status trends for your account.
  • Provide optional ongoing Gmail synchronization using mailbox history and push notifications.
  • Administer subscriptions and provide customer support.
  • Protect the Service, diagnose failures, and evaluate aggregated technical and feature-usage trends.

3. Gmail Access and Automated Processing

GettingHired requests thehttps://www.googleapis.com/auth/gmail.readonlyscope. This permission lets the Service search and read messages but does not let it compose, send, modify, move, or delete your email. GettingHired does not request access to your contacts, calendar, or Google Drive.

The Service needs message content because headers and metadata alone do not reliably identify the company, role, and stage of a job application. Relevant portions of candidate messages may be sent to a contracted automated processing provider solely to classify the message and extract the job information displayed in your account. We do not use, or permit our providers to use, Gmail data to train generalized AI or machine-learning models.

4. Google User Data and Limited Use

GettingHired uses Google user data only to provide or improve the prominent job-tracking and Gmail synchronization features described in this policy.

GettingHired's use and transfer of information received from Google Workspace APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
  • We do not sell or rent Gmail data.
  • We do not use Gmail data, including derived, aggregated, or anonymized forms, for advertising, credit or lending decisions, or unrelated marketing.
  • We do not use Gmail data to develop, train, or improve generalized AI or machine-learning models.
  • We do not allow people to read Gmail content except with your explicit permission for support, when required to investigate a security issue, or when required by law.

5. Service Providers and Disclosure

We use a limited number of service providers to operate GettingHired. They may process only the information necessary to perform services for us and must handle it under appropriate confidentiality and data-protection obligations. Provider categories include:

  • Cloud hosting, database, and operational infrastructure providers store or transmit account information, OAuth credentials, Gmail message IDs, synchronization state, and extracted job-application information on our behalf.
  • Automated processing providers temporarily receive relevant message content and limited metadata, such as sender, subject, and date, to classify messages and extract the job information shown to you.
  • Payment providers that process subscriptions. We do not send them Gmail data or information derived from Gmail.
  • Analytics and reliability providers used for general product performance. We do not send them Gmail message content, Gmail metadata, OAuth credentials, extracted job-application information, or user-specific statistics derived from Gmail.
  • Other disclosures you direct or explicitly authorize, or disclosures required for security, fraud prevention, or compliance with law.

We do not transfer anonymized or cross-user aggregated Gmail datasets because GettingHired does not create or retain such datasets.

6. Retention, Deletion, and Gmail Controls

Raw Gmail message bodies are processed transiently and are not stored in GettingHired's application database after processing. We retain OAuth credentials, message IDs, Gmail synchronization state, and extracted job-application information while your account remains active or for as long as needed to provide the Service.

The Gmail settings page lets you stop live mailbox notifications. To prevent all further Gmail access, revoke GettingHired's access from your Google Account permissions. You may request deletion of your GettingHired account, OAuth credentials, Gmail synchronization state, and associated job-application data by contacting us at gettinghiredservices@gmail.com. After verifying the request, we will remove the requested account and associated data from active systems within 30 days and confirm completion. Limited residual copies may remain in protected backups for up to 90 days before they are overwritten or deleted. Backup copies are not used for ordinary business purposes and will be deleted if restored. We may retain specific records longer only when required by law, security, fraud-prevention, or financial recordkeeping obligations.

7. Security

We use technical and organizational safeguards designed to protect personal information and Google user data. These measures include TLS encryption for data in transit, encryption at rest within our hosted database and infrastructure, server-side OAuth credential handling, access controls, and restrictions on production-data access. Service providers receive only the data needed to perform the functions described above. No security method can guarantee complete protection, but we review our safeguards as the Service evolves.

8. Children's Privacy

GettingHired is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make any material changes, we will notify you by updating the last updated date above, and in some cases, by displaying a notice within the web application.
